Job Description

Reporting to the Manager, Plan Operations Risk Management, Specialist, Plan Operations Risk Management (“Specialist”) is responsible for ensuring a consistent standard of quality is present in Plan Operations services and processing.  The Specialist will primarily conduct quality reviews on a sample of cases to provide assurance on services and processing, as well as benefit calculation accuracy. The Specialist will support the Plan Operations Risk Management team in identifying issues, root causes and trends with respect to quality reviews.

Also,  the Specialist will contribute to HOOPP’s overall risk management framework. This includes supporting access administration, providing audit support and assisting with other risk management activities.

The Specialist will be a key contributor to the creation and promotion of a risk culture within Plan Operations.

What you will do:

Quality Assurance Reviews

Assist in the selection of cases to sample

  • Use established high-risk criteria to select cases for review

  • Ensure sample sizes contain sufficient variation/diversity

  • Monitor sample sizes in relation to population sizes and overall risk

Conduct quality reviews on a sample of cases

  • Assist in the creation and maintenance of quality review checklists and reference material (i.e., training documents) for sample review as required, based on a comprehensive understanding of applicable services, processes, pension rules and risks.

  • Apply quality review checklists on a sample of completed cases to ensure overall accuracy and quality of member files

  • Identify, analyse, and synthesize data to identify quality issues

  • Ensure quality reviews are conducted accurately, timely and in accordance with HOOPP’s Quality Review procedures

Assist in the reporting of quality review results

  • Perform root-cause analysis on quality review issues identified, collaborate with other Plan Operations areas to research issues as required

  • Evaluate and write-up findings/observations based on risk, impact, and type of finding/observation in an accurate and concise manner

  • Prepare statistics reports summarizing reviews performed, issues and other findings identified as well as any historical trending as applicable

  • Provide recommendations for corrections (in accordance with applicable corrections policies), where applicable

Risk Management and Compliance

Contribute and support Plan Operations Risk Managements team objectives, within the scope of the position. This may include, but is not limited to:

  • Access administration support (using iMast system): assist in regular provisioning of Insight access and engaging stakeholders to understand access requests (as necessary). Also, it may include performing and documenting the execution of access control activities and analyzing access reports/data prior to the introduction of enhanced system functionality.

  • Audit Support:  assist in the preparation/updates of process narratives for the use of internal/external auditors. Coordinate and liaise with business areas and auditors to ensure that the information requested by auditors is provided in an accurate and timely manner.

  • Assisting with the process and/or risk and control documentation

  • Participating in team meetings, training, and events

  • Performing additional tasks/projects, within the scope of the position, as required

  • Remaining current on HOOPP’s programs and services through ongoing training, willing to expand skill sets in the areas of quality assurance and risk management and having a continuous improvement mindset

What you bring:

  • University degree or Community College diploma and/or a combination of equivalent training, education, and experience

  • Pension Plan Administration Certificate (PPAC) and/or Certified Employee Benefit Specialist Program (CEBS)  and/or Registered Retirement Analyst program (RRA)

  • Prior experience in the pension industry, pension plan administration and knowledge of pension-related legislation and regulations

  • Strong understanding of Microsoft applications (Excel, Word, PowerPoint). Excel proficiency in the use of formulas and macros.

  • Experience with HOOPP or external administration software applications is preferred

  • Excellent attention to detail, analytical, logical and problem-solving skills

  • Team player with good interpersonal, oral, and written communication

  • Excellent organizational and interpersonal skills and a high degree of independence and initiative

  • Strong judgment, critical thinking, and technical data mining skills

  • Effective verbal and report writing communication skills
