About the Role:

The House of Commons' Digital Services and Real Property (DSRP) is currently looking to staff two positions of Senior Administrative Assistant positions. One of the positions will report to the Director General, Real Property and the second will report to the Senior Director of IT Operations and Services. As the Senior Administrative Assistant, you will be responsible for providing business coordination and administrative support services to the assigned Director.

Real Property represents and protects the interest of the institution through its participation and collaboration with stakeholders in the delivery, management, and development of plans for the rehabilitation of the Parliamentary buildings and grounds. Real Property also supports Parliament by providing property and facilities management, long-term facilities planning, asset life-cycle management, and interior design and building component strategy and direction.

IT Operations and Services is responsible for the operation, delivery, maintenance and support of House of Commons information technology services (infrastructure and associated services and products) to ensure cost-effectiveness and optimum ongoing performance and availability

Prerequisites

Education

Successful completion of a post-secondary degree in a related field, or an acceptable combination of education, training and related experience.

Experience

  • Significant experience in providing administrative support services to senior management;
  • Significant experience in controlling and managing the flow of correspondence, messages, requests and documentation to and from senior management, as well as determining the appropriate action and making recommendations;
  • Experience working with the Microsoft Software Suite;
  • Experience in drafting and proofreading various documents such as meeting minutes, memoranda, briefing notes and correspondence in both official languages;
  • Experience in managing the calendar and time of senior management;
  • Experience in dealing with high-profile clients.
  • Experience with Sharepoint Online;
  • Experience providing administrative, coordination and logistical support services.

Outcome

Staff the position of Senior Administrative Assistant on an indeterminate (permanent) OR determinate basis (temporary) and create a pool of qualified candidates that may be considered to staff future vacancies for this position or for other similar and/or related positions on an indeterminate and/or determinate basis. Consideration may be given to candidates with other linguistic profiles.
