Job Description

This position performs a variety of advanced administrative functions and is responsible for the general administration of the office. The incumbent is responsible for directing and coordinating office services and/or administrative services and related activities for offices with generally less than 100 employees. May also be responsible for coordinating, directing and supervising the office support staff in the day-to-day operations at a location(s). This is a working supervisor position.

Provides support to and works closely with Office Market Leader (OML) to develop relationships with key Centres of Influence and stakeholder groups. Assists with on-going activities such as conference calls, meeting logistics, developing presentation materials. Plan, coordinate and participate in internal and external events and activities related to business development and/or recruiting, both on-site and off-site. Works with Toronto office CDI/ENG (Culture, Diversity and Inclusion and Employee Networking Groups) champion to create a culture of well-being and connectedness with other local area offices.

Provides advanced administrative support to a department or group of professionals, including but not limited to filing, scanning, archiving, correspondence, calendar management, travel coordination, preparing and distributing documents, and photocopying.

Routinely handles confidential correspondence, personnel and financial reports, and other information. Schedules appointments and gives information to callers. Composes memos, transcribes notes and researches and creates presentations. Answering multi-line telephone system, directing callers to appropriate individual, greeting visitors, and appropriate party or visitor arrival

May supervise office support staff and schedule workload, ensuring that adequate coverage is available. Provides coverage for administrative shortages. Helps evaluate support staff performance, support performance management, and participate in recruitment activities.

Support and manage office equipment and supply needs (telephone/voicemail, audio visual, kitchen and office supplies, etc.). May coordinate office building/facility matters (maintenance requests, communications, access cards, etc.)

Serves as a resource for staff and visitors who have questions regarding office policies and procedures as well as local restaurants, hotels, etc. and conducts local office orientation of new hires and gives local office tours to both staff and visitors, as needed

TECHNICAL/SOFT SKILLS

  • Intermediate to Advanced Microsoft Office skills
  • Ability to prepare presentations including charts, graphics and tables, speaker notes and handouts, etc.
  • Demonstrates strong communication skills both verbally and written with diverse audiences

SPECIAL REQUIREMENTS SPECIFIC TO JOB

  • Demonstrates a working knowledge of the technology tools required with assigned responsibilities

  • Ability to train, mentor and provide guidance and feedback to other team members

EXPERIENCE

 5+ years experience in a related field or area

LEADERSHIP SKILLS

  • Ability to lead and direct a group of employees in areas such as assigning, monitoring, reviewing progress and accuracy of work, directing efforts and providing guidance on more complex issues 
  •  Ability to work autonomously, with proven self-direction.
  • Embedded in the local community, participates in community organizations, understands the local “landscape” – both from a business and NPO perspective
